Team Assistant for Site Management and Installation Lead (SMIL) - Gdansk

Your Day-to-Day

You ensure smooth business continuity by supporting the Site Management and Installation Lead (SMIL) team. Your day combines administrative coordination, managing key digital information platforms, and contributing to competency-related processes that enable efficient project execution across a global organization.

How You’ll Make an Impact

• Provide comprehensive administrative support to the SMIL team: onboarding, equipment orders, travel arrangements.
• Manage the full onboarding process for new hires, ensuring timely delivery of IT equipment and PPE.
• Create, process, and track purchase orders for team-related expenses.
• Organize external trainings: leadership courses, weather-specific certifications.
• Support SMIL planners and heads in updating operational plans in tools such as Planisware.
• Maintain the SMIL SharePoint site, OneNote knowledge hub, and access rights to ensure data accuracy.

What You Bring

• Proven administrative experience within a complex, international environment.
• Hands-on experience with Microsoft SharePoint and digital collaboration tools such as OneNote.
• Strong proficiency in Microsoft Office Suite and basic knowledge of planning software (e.g., Planisware).
• Excellent organizational and problem-solving skills with high attention to detail.
• Strong communication skills, active listening, and ability to build positive working relationships.
• Fluency in English and Polish, along with a high sense of accountability and ownership.
